Society event announcements: AGM, festival and community dinner messages

Two Septembers ago I got roped into our society's Ganpati committee. Not because I'm especially devout — because I "know computers," which in a housing society is apparently a qualification for everything. My actual job turned out to be one thing: the announcements. Ten days of aarti timings, a community dinner on the last night, a contribution drive, and one very tense AGM three weeks later. All of it lived in a WhatsApp group of 214 people, most of whom had the group muted.
That month taught me that a society announcement is a different animal from a wedding or birthday invite. You're not inviting guests — you're informing residents, some of whom will argue with the announcement, some of whom genuinely didn't see it, and a few of whom will call the secretary at 10 PM to ask a question you answered in bold at the top. The message has to survive a muted group, a language mix, and a crowd that ranges from a 24-year-old on the 12th floor to a 78-year-old who still prefers the notice board.
So here are the templates I ended up refining across that festival and two AGMs since — WhatsApp-ready, with Hinglish variants, and honest notes on what a message can and can't do. Copy, swap your society's details, and post.
First, match the announcement to the channel
The biggest mistake committees make is treating everything as a WhatsApp message. Some announcements are legally weightless on WhatsApp — an AGM notice, in most society bylaws, needs written notice a fixed number of days in advance, usually on the board and often by circular. WhatsApp is your reminder layer, not your notice layer. Keep the two straight and half your disputes disappear.

Once you know which row you're in, the wording writes itself. Below are the four that caused me the most grief, solved.
1. The AGM notice (and the quorum reminder)
An AGM has a quirk no birthday party does: if not enough members show up, the meeting is adjourned and you do the whole thing again. That number is your quorum, and it's the reason your reminder needs a spine. Send the formal notice first, then a warmer WhatsApp nudge two days before.
Formal notice (board + WhatsApp, English):
NOTICE — Annual General Meeting Notice is hereby given that the Annual General Meeting of Green Meadows Residents' Welfare Association will be held on Sunday, 24th August 2026 at 11:00 AM in the Community Hall. Agenda: (1) Adoption of last AGM minutes (2) Audited accounts 2025–26 (3) Maintenance revision (4) Election of committee (5) Any other matter with the Chair's permission. WhatsApp quorum nudge (Hinglish, two days before):

Agar quorum poora nahi hua toh meeting adjourn ho jaayegi aur dobara karni padegi. Please ek member per flat zaroor aayein. 10 minute pehle aa jaayein toh chai ready milegi. 😊
That "one member per flat" line does more for quorum than any formal notice. People skip meetings they think are optional; they show up for meetings where their maintenance is on the table.
2. Festival celebration announcement
The happy one. Here the job is clarity across ten days of programming without turning the message into a timetable nobody reads. Lead with the dates, then the daily rhythm, then the one big evening.
English:
🌸 Ganpati Bappa Morya! 🌸 Our society Ganpati utsav begins Saturday, 6th September. If your festival hinges on catering numbers — a Navratri prasad, a Ganpati bhog, the visarjan-eve dinner — the headcount problem is real, and I've written the maths of it separately in prasad math: how attendance decides your catering. The short version: a garden full of "aa jaayenge" is not a number the caterer can cook to.
3. The community dinner — where a real RSVP matters
This is the announcement people treat casually and committees pay for literally. A society dinner is a fixed per-plate cost against a floating headcount, and the gap comes out of the festival fund. So this message earns the right to ask a firm question.
English:
🍽️ Community Dinner — Sunday, 14th Sept, 7:30 PM, Community Garden To close our Ganpati celebrations, we're hosting a sit-down dinner for all residents. Veg thali, sponsored partly by the festival fund; a nominal ₹150 per adult, kids under 8 free. 👉 Please confirm your flat's count by Thursday 11th, 8 PM — this is what we give the caterer. Hinglish:

Veg thali, thoda festival fund se sponsored, baaki ₹150 per adult, 8 saal se chhote bachche free. 👉 Apne flat ka count Thursday 11th, 8 baje tak bata dein — yahi count caterer ko jaayega. "Nahi aa rahe" bhi bata dein toh planning aasaan. Format: Flat no — kitne adults — kitne kids. Jaise: B-704 — 3 adults — 1 kid.
Giving people a reply format is the trick. "Let me know" produces paragraphs; "Flat — adults — kids" produces a spreadsheet you can actually add up. And notice it openly invites a "no" — the same thing I keep arguing in why guests don't RSVP: people answer honestly when a no is allowed, and go silent when it feels rude.
4. The contribution drive — and the awkward follow-up
Money in a society is delicate. The announcement should state the amount, the reason, the method, and a deadline — and then the follow-up should chase the fund, never shame the person.
Announcement (Hinglish):
🪔 Ganpati contribution 2026 Is saal ke celebration ke liye suggested contribution ₹500 per flat hai (jitna dil kare, zyada bhi welcome, kam bhi bilkul theek). Isme decoration, aarti samagri, sound aur dinner cover hoga. Pay via UPI: greenmeadows@upi ya committee members ko cash. Reference mein flat number zaroor likhein. Hisaab AGM mein poora transparent rakha jaayega. 🙏
Gentle follow-up (to non-payers, sent privately — not the group):
Hi 🙏 chhota sa reminder — Ganpati contribution abhi tak note nahi hua aapke flat se. Koi jaldi nahi, aur agar aap skip karna chahte hain toh bhi bilkul theek. Bas count final kar raha hoon, isliye ek baar confirm kar dein.
Send that one individually, never as a "these flats haven't paid" list in the main group. I've watched a committee lose a year of goodwill over one public defaulters' list. The private nudge collects more money and keeps the lift rides pleasant.
A pre-post checklist for the committee
Before you hit send on any society announcement, thirty seconds here saves ten calls later:
- Date, day and time all agree — "Sunday the 24th" only works if the 24th is a Sunday.
- One clear ask — RSVP, or pay, or attend — not three instructions in one message.
- Landmark inside the society — "Community Garden, behind Tower C," not just "downstairs."
- Amount and method — for anything involving money, exact figure + UPI ID.
- A real deadline with a reason — "by Thursday, because the caterer needs the count."
- Reply format given — for headcounts, Flat — adults — kids.
- Board notice too — for AGMs and anything your bylaws require in writing.
When you don't need any tool for this
Let me be honest about the limits, because society committees get pitched a lot of apps. For a maintenance update, a festival greeting, or a lift-repair notice, WhatsApp plus the notice board is complete — there is nothing to track, and reaching for software would be silly. A notebook and one diligent secretary have run good societies for decades.
The strain shows up in exactly two places: the AGM where you're counting flats toward quorum, and the community dinner where 214 casual replies have to become one plate count by Thursday. Get the words right first. The counting is the easy part.
